When I need to quickly put together a guide on how to use any website, I literally just click around the page and immediately see the steps appear in the window on the right. I could edit the text straight away or reorder the steps, everything’s in the right-hand panel. Then I saved it, published it within the organisation and made it public, shared the link and printed the QR code. Super simple and effective! For me, the main feature is the ability to capture PDF files. And what’s even cooler is that you can mix instructions for a web page and a PDF in a single guide. I just switch between tabs in the browser and create a universal guide in literally a matter of minutes. Anyone who’s ever had to constantly update PDFs with new data will understand me, a word has changed, a new item needs adding, a warranty needs to be included etc. … I simply extracted text and images from PDF files and turned them into instruction. Honestly, the work goes quickly, and the interface is super intuitive. Documenting processes becomes not a routine chore, but a fun task.

Knowby Capture gives me the ability to capture all my on screen marketing processes and share with my team. I can manage the approval of who sees the guides, and the scheduling of guides which is really handy for onboarding new staff. I can also clone tasks when I have really similar processes that need to be tweaked for different teams. Operations team can also use it to convert PDFs into current digital guides that can be kept up to date and governed. I especially like the editing feature that I can edit guides as I create them or add in new steps, merge steps and add links to other guides or embed guides in other systems.
